Section 7.9 - View and Understand Dual Stock

Chapter 7: Advanced Features | 6 min read | All Levels

Overview

With Store Mode enabled, each product now has two sets of stock quantities - one for Shop and one for Store. This section explains how to view, understand, and manage inventory across both locations.

Viewing Stock by Location

In the Product List

When Store Mode is active, the product list in Stock Management shows:

Product Shop Stock Store Stock Total
Coca Cola 500ml 25 pcs 100 pcs 125 pcs
Rice 25kg 5 bags 45 bags 50 bags
Sugar 1kg 30 pcs 0 pcs 30 pcs

In Product Details

When you click Manage on a product, the details page shows stock for each location:

Shop Stock

25

pieces on display

Store Stock

100

pieces in warehouse

Understanding Stock Fields

With Store Mode, products have additional stock tracking fields:

Location What It Tracks Description
Shop Up to 3 measurement units Stock quantities on your selling floor (e.g., 5 CTN / 3 DZN / 10 PCS)
Store Up to 3 measurement units Stock quantities in your warehouse (e.g., 20 CTN / 0 DZN / 0 PCS)
💡 Multiple Measurement Units:
If you have a product with multiple measurements (e.g., Cartons, Dozens, Pieces), each location tracks all measurement levels separately.

Example:
Shop: 2 CTN / 3 DZN / 15 PCS
Store: 10 CTN / 0 DZN / 0 PCS

Stock Adjustments with Store Mode

When making stock adjustments in Store Mode, you can adjust either location:

Adding Stock

When using Stock Adjustment → Add Stock, you'll see fields for both Shop and Store. Enter quantities in the location where you're adding physical stock.

Removing Stock

When using Stock Adjustment → Remove Stock, specify which location the items are being removed from. System tracks adjustment per location.

Stock Movement Flow

Understanding how stock moves helps you manage inventory effectively:

📦 Purchases

When you record a purchase, you choose the destination:

  • To Shop: Increases Shop stock (unit_1, unit_2, unit_3)
  • To Store: Increases Store stock (store_unit_1, store_unit_2, store_unit_3)

💰 Sales

Sales always deduct from Shop stock only. The system checks Shop availability before allowing a sale. Store stock is not affected by sales directly.

🔄 Transfers

Transfers move stock between locations:

  • Store → Shop: Decreases Store, Increases Shop
  • Shop → Store: Decreases Shop, Increases Store

Reading Stock Alerts

Low stock alerts in Store Mode work based on Shop stock levels (since that's what's available for sale):

⚠️ Low Stock Warning
"Coca Cola 500ml is running low in Shop (5 pieces remaining)"

Action: Transfer from Store to Shop to restock the selling floor.

Best Practices

Common Scenarios

Scenario: Customer wants item not on display

Problem: Shop has 0 pieces, but Store has 50.
Solution: Make a quick transfer from Store → Shop, then complete the sale.

Scenario: End of day, too many items on shelf

Problem: High-value items shouldn't stay on display overnight.
Solution: Transfer excess from Shop → Store for security.

Scenario: Stock take shows difference

Problem: Physical count doesn't match system for Shop location.
Solution: Use Stock Adjustment for Shop specifically, note the discrepancy reason.
