Overview

Transfer Reports give you complete visibility into all stock movements between your Shop and Store locations. Track what was transferred, when, by whom, and calculate the value of transfers over any time period.

  • Spot unusual movements (potential theft)

Accessing Transfer Reports

  1. Go to Reports in the main menu
  2. Select Transfer Reports or Stock Transfer Report
  3. The report interface loads with filter options

Report Filters

Customize your report using these filters:

Filter Description Options
Date From Start date for report period Date picker (defaults to 1st of month)
Date To End date for report period Date picker (defaults to today)
From Location Source location filter Shop, Store, or All
To Location Destination location filter Shop, Store, External, or All
Product Filter by specific product Search by name

Report Columns

The transfer report displays:

Column Description
Date When the transfer was made
Product Name Item that was transferred
Quantity Amount transferred (with unit)
From Source location (Shop/Store)
To Destination location (Shop/Store/External)
Value Transfer value based on buying price
Transferred By User who made the transfer
Notes Any comments added during transfer

Report Summary

At the top or bottom of the report, you'll see summary statistics:

Summary Metrics

  • Total Transfers: Count of transfer records
  • Total Value: Sum of all transfer values
  • Store → Shop: Count and value of restocking
  • Shop → Store: Count and value of returns
  • General Out: Count and value of external transfers

Common Report Uses

📊 Daily Restocking Review

Filters: Today's date, From: Store, To: Shop

Purpose: See what was moved from warehouse to shop floor today

📅 Monthly Transfer Summary

Filters: First to last day of month, All locations

Purpose: Overview of all stock movements for accounting

🔍 Product Movement Analysis

Filters: Last 3 months, specific product name

Purpose: Track how often a product moves between locations

👤 User Activity Check

Filters: Date range, look at "Transferred By" column

Purpose: Audit who is making transfers (accountability)

Exporting Reports

You can export transfer reports for external use:

Understanding Transfer Values

Transfer values are calculated using the buying price (cost) of items, not the selling price. This reflects the actual cost of stock moving between locations.

💡 Value Calculation:
Transfer Value = Quantity × Buying Price per Unit

Example: Transferring 10 pieces at 5,000 UGX buying price = 50,000 UGX transfer value

Best Practices

Troubleshooting

Report shows no data?

Check your date range. Make sure transfers were actually made during the selected period. Try expanding the date range.

Values seem wrong?

Transfer values use buying prices from the product record. If buying prices weren't set correctly, values may be inaccurate. Check product pricing.

Missing transfers?

Ensure Store Mode was enabled when transfers were made. Transfers made before enabling Store Mode won't appear in these reports.
