What is Barcode Scanning?

A barcode is a unique code printed on product packaging. When you scan it with a barcode scanner, GSK POS instantly:

Adding Barcodes to Products

There are two ways to add barcodes to your products:

Method 1: During Product Registration

Go to Add Product

Click "Add New Product" in your GSK POS

Fill Product Details

Enter product name, price, and other information as usual

Enter Barcode

Look for the "Barcode" field and either:

  • Scan the product: Use your scanner to scan the actual product barcode
  • Type manually: Enter the barcode number from the product packaging

Save Product

Click "Save" - the product is now linked to that barcode

Method 2: Edit Existing Product

If you already have products without barcodes:

💡 Tip: Most products already have barcodes printed on them (like soft drinks, snacks, medicines). Just scan or copy those numbers!

Using Barcode Scanner at POS

Scanner Setup

GSK POS works with standard USB barcode scanners. Setup is simple:

  1. Connect barcode scanner to your computer/tablet USB port
  2. Wait for device to be recognized (usually automatic)
  3. Open GSK POS
  4. Scanner is ready to use!

Most barcode scanners work immediately without special software. The scanner types into GSK POS just like a keyboard!

Making a Sale with Barcode Scanner

Start a Sale

Click "New Sale" or go to your sales page

Click in Product Search Field

Make sure your cursor is in the product search/barcode field

Scan the Product

Point scanner at barcode and press the trigger

BEEP! - Product instantly appears in your sale

Scan More Products

Keep scanning - each product is added to the transaction

Complete Sale

When done scanning, click "Complete Sale" and process payment as usual

Linking Multiple Products to One Barcode

Sometimes you have related products that share a general barcode (like different Coca-Cola sizes all using the main Coca-Cola barcode). GSK POS handles this:

📦 Product Linking Feature

Scenario: You stock Coca-Cola 300ml, 500ml, and 1L bottles. They all have the same general Coca-Cola barcode.

Solution: Link all three products to the general barcode:

  1. Go to the barcode linking page in GSK POS
  2. Select all Coca-Cola variants
  3. Enter the general Coca-Cola barcode
  4. Save the link

When you scan: System shows all linked products, you select which size the customer wants!

Barcode Types Supported

GSK POS works with all common barcode formats:

Type Common Uses
EAN-13 Most retail products (13 digits)
UPC North American products (12 digits)
Code 128 Shipping, warehouses
QR Codes Modern products, mobile payments
💡 Don't Worry: You don't need to know the barcode type. Just scan it - GSK POS recognizes all formats automatically!

Example 1: Pharmacy

Customer needs Panadol, cough syrup, and vitamins.

Without barcode: 45 seconds (search each medicine, select, confirm)

With barcode: 8 seconds (scan, scan, scan, done!)

Multiple Barcodes per Product

Sometimes one product has multiple barcodes. This happens when:

How to Add Multiple Barcodes

Go to Barcode Management

From the main menu, click Barcode Management

Click "Manage Multiple Barcodes"

Select the Multiple Barcodes option

Select Your Product

Use the dropdown to find and select the product you want to add barcodes to

Scan or Type the Barcode

Enter the barcode number (scan it or type manually)

Click "Add Barcode"

The barcode is now linked to your product. Repeat for more barcodes!

Viewing Products with Multiple Barcodes

On the right side of the Multiple Barcodes screen, you'll see a list of all products that have barcodes attached. Each product shows:

Removing a Barcode

To remove a barcode from a product:

  1. Find the product in the list on the right
  2. Click the X next to the barcode you want to remove
  3. The barcode is immediately unlinked
⚠️ Important: Each barcode can only belong to ONE product. If you try to add a barcode that's already assigned elsewhere, you'll see an error message showing which product already has it.

Real Example: Coca-Cola

🥤 Scenario

You sell Coca-Cola 500ml. You receive stock from two suppliers - one imports from Kenya (barcode: 5449000000996), the other from South Africa (barcode: 5449000000897).

Solution: Add both barcodes to your "Coca-Cola 500ml" product.

Result: Staff can scan EITHER barcode - the correct product appears every time!

Best Practices

  • Add barcodes during product registration: Do it once, benefit forever
  • Keep products in original packaging: Barcodes stay readable
  • Train staff to scan: Show new employees how it works
  • Keep scanner clean: Wipe the glass weekly

  • Add all variant barcodes: When a product has multiple barcodes, add them all!

  • Don't use damaged barcodes: Won't scan reliably
  • Don't cover barcodes: Keep them visible
  • Don't skip barcode setup: You lose all the benefits
  • Don't use fake barcodes: Use actual product barcodes

Troubleshooting

❓ Scanner Not Working

Possible Causes:

  • Scanner not connected properly
  • USB port issue
  • Scanner not configured

Solutions:

  • Unplug and replug scanner
  • Try different USB port
  • Test scanner in Notepad (should type numbers)
  • Check scanner manual for setup mode

❓ Barcode Not Found

Possible Causes:

  • Product not registered in GSK POS
  • Barcode not added to product
  • Wrong barcode entered

Solutions:

  • Check if product exists in system
  • Add barcode to existing product
  • Verify barcode number is correct
  • Register new product with barcode

❓ Wrong Product Appears

Possible Causes:

  • Barcode linked to wrong product
  • Duplicate barcode in system

Solutions:

  • Edit product and update barcode
  • Remove duplicate barcodes
  • Verify barcode on product packaging
