Overview
When Store Mode is enabled, recording purchases works a bit differently. Before adding items to a purchase, you'll choose where the stock should go: Shop (selling floor) or Store (warehouse).
💡 Key Difference:
Without Store Mode: All purchases go to one stock location.
With Store Mode: You choose the destination for each purchase.
The Destination Dialog
When you click the Purchase Sheet button (or start a new purchase), a dialog appears asking where this stock should go:
Shop
Stock goes directly to selling floor
Store
Stock goes to warehouse/storage
Click your choice, and the purchase sheet opens with that destination selected.
Step-by-Step: Recording a Purchase
1
Open Purchase Sheet
Click the Purchase Sheet button in the main interface.
2
Select Destination
Choose Shop or Store from the dialog.
3
Add Products
Search for products and add them to the purchase. Enter quantities and prices as usual.
4
Verify Destination
Check the destination indicator on the purchase sheet. It shows where stock will go.
5
Save Purchase
Click Save to complete. Stock is added to the selected location.
✅ Purchase Recorded!
The system will:
- Add quantities to the selected location (Shop or Store)
- Create purchase records with destination marked
- Update product stock levels
- Record for FIFO cost tracking
When to Choose Shop vs Store?
Choose SHOP When:
- Small order for immediate sale
- Restocking specific display items
- Low quantities for retail
- Items needed today
- Single-unit purchases
Choose STORE When:
- Bulk/wholesale purchase
- Large quantities for future
- Cartons/cases to store away
- Seasonal stock buildup
- Items not needed immediately
Destination Indicator
While entering a purchase, you'll see a destination indicator showing where the stock will go. This appears near the Save button or at the top of the purchase sheet.
📍 Destination Display Example:
📍 Destination: SHOP - Stock will go to selling floor
📍 Destination: STORE - Stock will go to warehouse
Changing Destination
If you selected the wrong destination:
- Before saving: Close the purchase sheet and start again, selecting the correct destination
- After saving: Use Stock Transfer to move items to the correct location
⚠️ Important: Once a purchase is saved, you cannot change its destination directly. If items went to the wrong location, use the Stock Transfer feature to move them.
Purchase Records
All purchases are recorded with their destination. When viewing purchase history, you can see:
- Date and time of purchase
- Products and quantities
- Supplier (if entered)
- Destination: Shop or Store
- Total value
Best Practices
- Plan before purchasing: Know where stock should go before you start
- Bulk to Store: Large orders usually go to Store first
- Small to Shop: Small restocking orders go direct to Shop
- Check destination: Always verify before saving
- Split large orders: If needed, make two purchases (one to each location)
Common Scenarios
Scenario: Weekly bulk order arrives
Action: Record purchase to Store, then transfer needed items to Shop throughout the week.
Scenario: Urgent restock of fast-selling item
Action: Record purchase to Shop so items are immediately available for sale.
Scenario: Mixed order (some for display, some for storage)
Action: Either record all to Store and transfer some to Shop, OR make two separate purchases with different destinations.
