Overview

The Expenditure Module helps you track all your business expenses - from rent and utilities to supplies and transport.

What you can do:

  • Know exactly where your money goes
  • Calculate true profit (Revenue - Expenses)
  • Identify areas to cut costs
  • Prepare for tax reporting

Accessing Expenditures

From the main menu, click Expenditures to open the Expenditure Module.

The Interface

The Expenditure Module has a clean split layout:

Left Panel - Add Expense

Form to record new expenses with category, amount, date, and description.

Right Panel - Recent Expenses

List of your most recent expenses with edit and delete options.

At the top, you'll see:

Recording an Expense

Steps to Add an Expense

  1. Open Expenditures from the menu
  2. Fill in the expense form (left panel)
  3. Click Save Expense
  4. Expense appears in the recent list

Expense Form Fields

Form Fields:

  • Category - Select what type of expense (rent, transport, supplies, etc.)
  • Amount - How much was spent
  • Date - When the expense occurred (defaults to today)
  • Reason/Description - Brief note about the expense
Quick Example:
  • Category: Transport
  • Amount: 25,000
  • Date: Today
  • Reason: Delivery to customer - Kampala Road

Expense Categories

Categories help you organize expenses and understand where your money goes.

Common Categories

Category Examples
Rent Shop rent, warehouse rent
Utilities Electricity, water, internet
Transport Delivery costs, fuel, boda boda
Supplies Packaging, receipt paper, cleaning
Salaries Staff wages, bonuses
Repairs Equipment repair, maintenance
Marketing Advertising, promotions
Miscellaneous Other business expenses

Custom Categories

You can create custom categories for expenses specific to your business.

Managing Expenses

Viewing Recent Expenses

The right panel shows your most recent expenses with:

Editing an Expense

  1. Find the expense in the recent list
  2. Click the Edit button (pencil icon)
  3. Modify the details in the popup
  4. Click Save Changes

Deleting an Expense

  1. Find the expense in the recent list
  2. Click the Delete button (trash icon)
  3. Confirm the deletion
  4. Expense is permanently removed
Caution:

Deleted expenses cannot be recovered. Make sure you really want to delete before confirming.

Track your spending patterns with expense reports.

What Reports Show

Accessing Reports

  1. Go to Reports from main menu
  2. Select Expenditure Report
  3. Choose date range
  4. View or print the report

Best Practices

Record Immediately

Add expenses right when they happen. Don't wait until end of day - you'll forget details.

Use Categories

Always select the right category. This makes reports meaningful.

Be Descriptive

Write clear descriptions. "Transport" is less useful than "Delivery to Kampala customer".

Keep Receipts

Keep physical receipts for verification and tax purposes.

Common Questions

What's the difference between Expenditure and Accounts?

Expenditure tracks what you spent money ON (categories like rent, transport). Accounts tracks WHERE the money is (cash, bank, mobile money). Use both together for complete financial tracking.

Can I record a past expense?

Yes! Change the date field when adding an expense to record it on a different date.

How do I see last month's expenses?

Use the Expenditure Report in Reports menu. Select last month's date range to see all expenses.

Pro Tip:

Review your expense categories monthly. You might discover you're spending more on certain areas than you realized!
