What is GSK POS and who is it for?

GSK POS is a complete Point of Sale and inventory management system designed for businesses in Uganda and East Africa. It's perfect for:

  3. Enter your business name, email, and phone number
  4. Create your password
  5. You'll get instant access to try GSK POS free
No credit card required! You can explore all features during the trial period.
What devices can I use GSK POS on?

GSK POS works on any device with a modern web browser:

  • Computers - Windows, Mac, Linux
  • Tablets - iPad, Android tablets
  • Phones - iPhone, Android smartphones

We recommend Google Chrome for the best experience. No installation needed - just open your browser and login!

Can multiple users access the same business account?

Yes! You can create unlimited user accounts for your staff. Each user can have:

  • Their own username and password
  • Custom role (Admin, Cashier, Manager, etc.)
  • Specific permissions (what they can see and do)

This way, cashiers can process sales while only managers see reports and profits.

Sales & POS

How do I make a sale?

Making a sale is quick and simple:

  1. Search for the product by name, barcode, or code
  2. Enter the quantity
  3. Click "Add to Cart" or press Enter
  4. Repeat for more items
  5. Enter amount paid by customer
  6. Click "Complete Sale"

The system automatically calculates change and can print a receipt!

Can I sell on credit to customers?

Yes! GSK POS has full credit sales support:

  • Register customers with their details
  • Sell on credit - customer balance is automatically tracked
  • Record customer payments/deposits anytime
  • View customer statements and history
  • Set credit limits (optional)
Tip: You can see a customer's current balance before making a credit sale.
How do I give a discount on a sale?

If the Discount feature is enabled in your settings:

  • Add items to cart as normal
  • Enter the discount amount in the discount field
  • The total will update automatically
  • Complete the sale

You can give discounts as a fixed amount (e.g., 5,000/=) or percentage.

Can I void or cancel a sale?

Yes, with proper permissions you can:

  • Delete a sale - Removes the transaction completely
  • Edit a sale - Modify items, quantities, or amounts

Stock is automatically restored when a sale is deleted. All changes are tracked in the activity log for accountability.

Note: Only users with the "Delete Sales" permission can void transactions.
How do I print receipts?

GSK POS supports multiple printing options:

  • Thermal printers - 58mm or 80mm receipt printers
  • Regular printers - A4 or A5 paper
  • Auto-print - Automatically print after each sale
  • Manual print - Print only when needed

Configure your printer in Settings → Printing Settings.

Stock & Inventory

How do I add new products to my inventory?

There are two ways to add products:

1. Add one by one:

  • Go to Stock Management
  • Click "Add New Product"
  • Enter product name, prices, quantity, and other details
  • Save

2. Import from CSV/Excel:

  • Prepare your product list in Excel
  • Export as CSV
  • Use the Import feature to add hundreds of products at once
How do I record stock purchases (stock in)?

To record stock coming in from a supplier:

  1. Go to Purchases / Stock In
  2. Select or create the supplier
  3. Add products with quantities and buying prices
  4. Save the purchase

Stock levels update automatically, and the system tracks your purchase history and costs for accurate profit calculations.

How do I adjust stock quantities?

For corrections, damages, or physical count adjustments:

  1. Go to Stock Management
  2. Find the product
  3. Click on the product to open details
  4. Use "Stock Adjustment" to increase or decrease quantity
  5. Enter a reason for the adjustment

All adjustments are logged for audit purposes.

What is Store Mode?

Store Mode lets you manage inventory in two locations:

  • Shop - Your selling location (front)
  • Store - Your storage/warehouse (back)

Benefits:

  • Track stock separately in each location
  • Transfer stock between Shop and Store
  • Know exactly what's available for sale vs. in storage
  • Sales only deduct from Shop stock
Can I track expiry dates and batch numbers?

Yes! Enable these modules in Common Settings:

  • Expiry Module - Track expiry dates, get alerts for expiring products
  • Batch Module - Track batch/lot numbers for traceability

Perfect for pharmacies, food businesses, and any products with shelf life.

Reports & Analytics

What reports are available in GSK POS?

GSK POS offers comprehensive reports:

  • Daily Report - Today's sales summary
  • Sales Reports - By date range, customer, or product
  • Purchase Reports - Stock purchases history
  • Stock Reports - Current inventory, valuation, movement
  • Profit & Loss - See your margins and profitability
  • Customer Reports - Balances, statements, history
  • Expenditure Reports - Track business expenses
  • AI Reports - Smart insights and analysis
How do I see my profit on sales?

GSK POS uses FIFO (First In, First Out) costing to calculate accurate profits:

  • Go to Reports → Profit & Loss
  • Select your date range
  • View profit per transaction or overall

The system automatically calculates profit based on your actual buying costs, not just selling prices.

Can I export reports to Excel?

Yes! Most reports can be exported:

  • Print - Print directly to paper or PDF
  • Excel/CSV - Download as spreadsheet

Look for the export/download buttons at the top of each report.

Subscription & Billing

How much does GSK POS cost?

GSK POS is sold as one complete package:

  • First year: UGX 1,000,000 - installation, business setup, staff training and 12 months of use and support
  • Renewal: UGX 500,000 per year after the first year
  • Vouchers - if you have a GSK voucher, apply it on the payment page to reduce the first-year amount, then pay the balance
  • Payment plans - pay in installments if you cannot pay at once

The package includes unlimited products, users, and transactions.

How do I pay for my subscription?

We accept multiple payment methods:

  • Mobile Money - MTN MoMo, Airtel Money
  • Bank Transfer - Direct deposit
  • Cash - Pay at our office

Payments are processed instantly and your subscription activates immediately.

What happens when my subscription expires?

If your subscription expires:

  • You'll see a renewal reminder
  • You can still view your data
  • New sales and transactions will be blocked
  • Simply renew to restore full access
Your data is safe! We never delete your data when subscription expires. Renew anytime to continue.
Can I get a refund?

We offer refunds in certain situations:

  • Within 7 days of first payment (new customers)
  • Technical issues preventing usage
  • Duplicate payments

Troubleshooting

I forgot my password. How do I reset it?

To reset your password:

  1. Go to the login page
  2. Click "Forgot Password"
  3. Enter your email or phone number
  4. Follow the reset instructions sent to you

If you're still having trouble, contact support.

The system is slow. What can I do?

Try these steps:

  • Check your internet - GSK POS needs stable connection
  • Clear browser cache - Ctrl+Shift+R to hard refresh
  • Use Chrome - Best performance
  • Close other tabs - Free up browser memory
  • Restart browser - Close and reopen
My receipt printer is not working. Help!

Common printer troubleshooting:

  • Check connection - USB or network connected?
  • Paper loaded? - Ensure paper is properly inserted
  • Printer name correct? - Check Settings → Printing
  • Try test print - Use the test button in settings
  • Restart printer - Turn off and on again

For thermal printers, ensure you're using the correct paper size (58mm or 80mm).

I can't see a feature/button that should be there

This is usually a permissions issue:

  • Check your role - Some features are restricted by role
  • Ask admin - Request the permission from your admin
  • Check settings - Some features need to be enabled first

Admins can manage permissions in User Management → Roles & Permissions.

Can I use GSK POS offline?

GSK POS has limited offline capability:

  • Some data is cached for quick access
  • Basic operations may work briefly offline
  • Full functionality requires internet connection
  • Data syncs automatically when connection returns
Tip: For reliable operation, ensure stable internet. Consider a backup connection (mobile data) for busy periods.
